George Fox University's Master of Social Work Program is seeking a highly skilled and motivated team player to fill the role of Program Coordinator. About the Job: The Program Coordinator for the Masters of Social Work Program is responsible for developing and maintaining strong professional relationships and works collaboratively with a variety of internal and external stakeholders. This role provides the first point of contact, creating an inclusive and welcoming experience. Other responsibilities include, but are not limited to, performing complex administrative and budgetary duties in support of staff, faculty, students and visitors. The Program Coordinator independently plans and performs a wide range of complex duties and special projects for the College of Social Work while supporting the College's strategic objectives. This individual performs a range of administrative, academic and budgetary support duties for the Masters of Social Work (MSW) program. This individual engages in event planning for large and small groups for both program and university operations. Job responsibilities include, but are not limited to: Monitoring cost center budgets, faculty loads and contracts, record keeping, Maintaining department calendars, drafting/sending frequent and official communications on a variety of topics, coordinating program meetings, and filing meeting minutes Ordering, distributing and maintaining course materials and other supplies. Developing, planning, and maintaining program course schedules. Completing program scorecard data, arranging community advisory board meetings twice annually, scheduling classrooms, and other special projects, events and communication as assigned. Directing students and faculty to academic resources on and off campus. Assisting with expense reimbursement forms. Assisting with office moves and facility related concerns and issues. Supporting alternative classroom delivery technologies as they are developed. Owning processes surrounding the MSW enrollment and registration process, creating and maintaining students' academic plans. Maintaining online groups, internal and external web pages that serve students and alumni. Coordinating with student representatives on various projects. Regularly communicating with field faculty, updating field manuals, securing and maintaining records of affiliation agreements with agency partners, communicating and collaborating with field faculty and outside agency placement sites regarding student issues, managing student background checks processes, working with university legal team and agencies as needed regarding liability insurance, and supporting the Director of Field Education as requested. Planning, organizing, and executing special events ranging in attendance size from 20 to 500+. Maintaining data collection in accordance with policies set by the university, CSWE, and the department for purposes including accreditation, enrollment, cohort data for course planning, registrar census, student retention, and curricular data. Facilitating and planning faculty candidate and accreditation visits including travel coordination, expense reimbursement, interview itineraries and activities. Coordinating travel, lodging and conference registration for directors and, occasionally, other faculty. Coordinating updates to internal and external program web pages, including social media, to maintain communication with students, faculty, alumni and community stakeholders. Supporting the graduate admissions process as needed by assisting with interview activities, reviewing transcripts for qualifications and transfer credits, maintaining admission deliberation notes, assisting the admission counselor and marketing/communications team throughout the year with answering program questions and assisting with the coordination of creating new marketing materials and strategic marketing efforts. Attending all-employee meetings, staff conferences, and trainings (e.g. FERPA, budget software, etc.), along with Enterprise specific gatherings, and other university wide activities. Communicating effectively and courteously with others, including employees, students, and the public, in a spirit of teamwork, respect and customer service. By actions, words, and lifestyle, be a Christian role model to students, whether through casual contact or in a formal supervisory role. Demonstrating awareness, respect, and appreciation for diversity of culture, background, race, sex, political views, expressions of faith, etc. and works well with a variety of people. Other duties as assigned. *See the full job description attached for more information! A day in the life of this position: A typical day consists of any, or all, of the above mentioned work duties. The Program Coordinator will work closely with the Program Director in managing the overall academic integrity, quality and viability of the Degree Program. They will coordinate and perform a variety of confidential and complex duties with minimal supervision throughout your day in an effort to provide advice and academic support to all program faculty and students within the Graduate Social Work Program. Upon arrival at the office, they will likely check emails and voicemail messages and respond to communications as needed, some of which may require them to reprioritize planned tasks. They will then complete work duties independently based on requests, but primarily their own anticipation of upcoming needs and events with attention to deadlines. The tasks will be varied, will include communicating with multiple other departments, students, and faculty, and will require sound judgment to make decisions autonomously. They will field questions and conversations in person, via email and phone throughout the day; these interruptions may be multiple times an hour and require you to pivot your work before returning to your other projects. "Typical" in this role is synonymous with vast and varied. We're looking for candidates who have: A Bachelor's degree with 3 years of relevant work experience. Experience with communicating difficult/sensitive information. Experience working with diverse populations and commitment to diversity, equity and inclusion values. Strong organizational, verbal, written and interpersonal skills necessary to interact effectively with all levels of personnel. An ability to multi-task and work with frequent interruptions. Displayed a high level of discretion and sound decision making judgment. A strong computer proficiency in, but not limited to, Excel, Word, and other technologies. A demonstrated ability to prioritize and problem solve. A personal commitment to Jesus Christ and express their Christian testimony in a church. Preference will be given to those who have the following attributes: Five or more years administrative experience showing progressive responsibility and oversight, preferably in higher education.
